A leading UK supplier of electronics services to defence, security, transport and energy sectors, installed the XACTIO web supply chain portal to deliver efficiency savings within the supply chain. This has already delivered performance improvements including an increase in ‘on time in full’ (OTIF) from 65% to 96%.

The XACTIO web portal consists of a number of modules including – Supplier Quality Management; Supplier Approval; league Tables; RFQ; Schedule forecast and open orders; Inventory; QCD&R and an MRP link. Each module targets a different aspect of supply chain efficiency. The features that were key to their selection of XACTIO were – its real time capabilities and the quality of real time information available on supply chain status.



Supplier Quality management – Prior to the installation of XACTIO, quality management was a manual process. Non Conformance Reporting (NCR) is now managed through XACTIO and there is active supplier usage to submit online NCRs and to monitor performance.

Supplier Approval – the questionnaire features to monitor supplier quality performance. If a supplier is not registered then this indicates to buyers that they are not approved.

Supplier Performance – A supplier reporting system enables Ultra to monitor each of the QCD&R categories for each supplier. When a supplier’s performance falls below predefined requirements then this is automatically highlighted by the generation of a report which is then automatically emailed to the supplier from the Portal.

Key improvements delivered as a result of these implementations include:

  • The information generated has enabled ‘on time if full’ to be improved from 65% to 96%
  • The development of a closer relationship with end customers because of the ability to provide a view of supplier performance. The graphical representation through the use of the questionnaires is particularly useful.
  • Improved order process automation and accessibility of key information.
  • The material rejection process has improved as a result of the introduction of a reject advice note system
